University Accommodation Booking Closed

Accommodation booking at the University has now closed and the deadline for payment (30th June) is well passed. If you have missed all the reminders about the deadlines and would like to be put on a waiting list for the £41 rooms on campus (single en suite including breakfast) please e-mail Rex Tyrrell (prsrmt@bath.ac.uk) with a copy to Helen Thame (prshct@bath.ac.uk) stating the nights required. We will let you know as soon as possible if rooms become available. We will not be able to obtain accomodation outside of the conference period.

On arrival at the University- Maps and directions

Registration for the conference will start at 14:30 on Saturday 1st September in the University Hall Foyer (building 10 on the 3D map behind the lake and amphitheatre).

The buses come in close to 6 East on the East side of the parade or you can ask a taxi to drop you at the Wessex House steps (for the parade). To access the University Hall, it is best to get on the parade from whichever direction you come from and you will see the signs to University Hall which will take you down the steps in the direction of the lake. The entrance to the hall is on the right. Registration and accomodation details and directions will be taken care of there.

If you arrive by car, you should leave your car in the West car park if you are staying in Polden or Quantock (in the Westwood complex behind building 16 on the 3D map) or the East car park if you are staying in Marlborough or Solsbury. All the double rooms and premium en suite accomodation is in Polden, the en suite singles are in Marlborough (or Solsbury) and the premium standard rooms are in Quantock. You then need to register after which you can obtain a parking permit.

If you have booked accomodation prior to the first day of the conference you will need to go to the residential services centre (building 16 on the map) to get your keys (Polden or Qantock) or direct to the Marborough housekeeping office (at quiet times this may be shut and you will be redirected to the residential services centre). In any case if it is after 10 pm, you will need to go to security (in Wessex at the parade level) to obtain the keys.

Computer access and wireless networking for the ESP congress in Bath

A large number of computers are available in the library for use by conference participants. However every participant who wishes to use this service for the internet and to check e-mail accounts will need to register in advance in order that a username and password can be issued by the University. There is a £5 fee for this service levied by the computing centre also payable by us in advance.

Personal laptops can also be used but you will also need to register in advance and pay the £5 fee. However, please note that although wireless access is available in many common areas of the University, there is insufficient signal in most of the University residences. In addition, please note that ethernet connections are not available to conference participants in the residences and modems cannot be used on campus through the phone lines.

If you are a registered participant and would like to have internet access through the University, please e-mail directly to Rex Tyrrell (prsrmt@bath.ac.uk) and attach the ESP congress computer access form with all the details at the very latest by the 15th July. There will be a charge of £5 for the whole conference period.

If you have paid your registration already, then you may pay for the access when you collect the congress registration material in Bath and you will be given the password then. If you have not paid registration yet, you need to include this with your payment total and note this on your credit card authorisation form. Only fully paid-up registrants and invited speakers who have registered for the congress will be added to the list for issue of usernames (and our computer centre will not issue usernames unless we tell them well in advance so we cannot add names on site).

Information for presenters

POSTERS

Posters should be prepared in AO portrait format (85 cm width; 120 cm height) since the poster boards are 2m high by 1m wide.
The posters can be mounted starting on Sunday 2nd September and must be removed at the latest by 16:00 on Wednesday 5th September when the poster boards will be dismantled. However they can all remain on display throughout this period.
There will be two poster sessions (Monday 3rd September and Wednesday 5th September from 14:00 to 15:30 ).
Each poster has been assigned a number which will be found in the programme book and the poster itself must be mounted on the poster board with the same number.
The poster session for each poster abstract will also be found in the programme book and presenters should be present for the duration of the corresponding session.
Pins must not be used to fix the posters. This can only be done with the adhesive-backed velcro hook pads that will be provided on site.

ORAL PRESENTATIONS

Oral presentations will be in the one of the 4 lecture rooms (University Hall; 8W 1.1; 8W 2.1; 5W 2.3) being used by the conference on the Bath University campus.
The presentation times are variable but should strictly adhere to those given in the programme schedule.
Projection will be via PowerPoint using the Windows XP operating system and standard data projectors.
Speakers should check their presentations for compatibility with PowerPoint 2003 for Windows.
All presentations should be pre-loaded at least half a day in advance.

Speakers should go to 5W 2.1 to upload and check their presentations which should be provided on a CD or preferably a flash memory stick.

From Bristol airport to Bath and Bath Bus Map

To get to Bath from Bristol airport, there is public transport via the Bristol flyer (airport shuttle) http://www.bristolairport.co.uk/getting_to_bia/by_airport_express_link.aspx to Bristol Temple Meads train station from which you can get a direct train to Bath. A timetable for the flyer is on the web-site above and the train times from Bristol can be found on http://nationalrail.co.uk/site_index/. From the train station in Bath you need to get a bus to the University. The bus station is about 2 minutes from the train station. The whole journey could take as long as 2 hours but is usually quicker. Alternatively you can get a taxi from Bristol airport (about £35 to the University ) or Bath train station (about £6).
